Overview

One federation. Three schools. A single, coordinated transformation.

Managing IT across a federation of three schools multiplies both the complexity and the stakes. Every decision affects staff and students at multiple sites simultaneously — which means planning, communication, and sequencing have to be right before anything is touched.

We designed a phased, fully managed upgrade that removed the federation's physical servers, migrated all critical services to Microsoft 365 and Intune, standardised every staff device across all three schools, and handed everything back documented and ready to run.

The challenges

What was delivered

Workstream 1

Server Decommission & Cloud Migration

On-premises servers removed. Critical services migrated to Microsoft 365 and Intune. DHCP migrated to Synology NAS — a cost-effective alternative to cloud-only subscription solutions.

Workstream 2

Staff Device Transformation

All staff laptops rebuilt with Windows 11 Education, standardised configurations, and enrolled in Intune and Azure AD. New admin desktops commissioned with secure access and pre-installed software across all three schools.

Workstream 3

Software & Application Deployment

Microsoft Office 2021 ProPlus, Google Drive, VLC, and school-specific applications deployed centrally. MFDs configured for printing and scanning on all staff devices — no manual setup required.

Workstream 4

Data Protection & Continuity

All staff data backed up to Google Drive before device wipe. BitLocker encryption enabled on every laptop. No data was at risk at any point during the transition.

Workstream 5

Training & Onboarding Support

Guided staff through the secure data backup process and device labelling before the transition. Onboarding process designed to minimise disruption and ensure every device was ready for immediate use.
